Invitation Types

There are four ways to invite a Candidate to the HIRE Assessment: Individual Email Invite, Individual Internal Agency candidate, Bulk Email Invites, Onsite or "walk-in" Invite.

What is this?

The HIRE tool is a standalone GovWorx product that provides customers with a more accurate depiction of the competency levels of applicants they have in the hiring process to support their retention and success rates.

This module shows you what the HIRE tool can do, how to track applicants, and gives you a peek into what the Applicant will experience from their perspective.

Ways to invite Candidates

  • Single Email Invitation to one external Candidate

  • Single Email Invitation to one internal (Agency) Candidate

Single Email Invitation to one external Candidate

Purpose - allows you to invite a specific candidate

  1. Email out an invitation to a single applicant

  2. The candidate will receive invitation and disclaimer to their email

  3. They will have an opportunity to decline the invitation

  4. If they accept, they will receive login instructions with a temporary password

  5. They will have to accept the Terms & Conditions to login.

  6. Image recording during assessment is required

Use Cases:

  • Respond to an individual who reached out to Agency via email

  • Respond to an individual referred by another Agency

  • Respond to an individual referred internally

Single Email Invitation to one internal-Agency Candidate

Purpose - allows you to invite a specific candidate

  1. Email out an invitation to a single applicant (applicant's personal email required)

    • Since this candidate is already an employee of your agency, they will need to use their personal email to receive this invitation. If their Agency email is used here, it causes problems elsewhere in the onboarding process.

  2. The candidate will receive invitation and disclaimer to their email

  3. They will have an opportunity to decline the invitation

  4. If they accept, they will receive login instructions with a temporary password

  5. They will have to accept the Terms & Conditions to login.

  6. Image recording during assessment is required

Use Cases:

  • Respond to an individual who reached out to Agency via email

  • Respond to an individual referred by another Agency

  • Respond to an individual referred internally

Bulk Email Invitations to list of Candidates

Purpose - allows you to generate a large number of invites without you having to manually them invite one-by-one

  1. Bulk Invite a list of applicants (applicants' emails required)

  2. The candidates will receive invitation and disclaimer to their email

  3. They will have an opportunity to decline the invitation

  4. If they accept, they will receive login instructions with a temporary password

  5. They will have to accept the Terms & Conditions to login.

  6. Image recording during assessment is required

Use cases:

  • Inviting an entire set of candidates who recently graduated from a program

  • Inviting a number of candidates who attended a Job Fair

Onsite administration of HIRE Assessment

Purpose - Invite On Site applicants (applicant email not required).

Note: The candidate will not receive any emails. They will not create their own password for login.

  1. The Agency will give them their login credentials

  2. Candidate uses provided login credentials to login to the dashboard

  3. Candidate will have to accept the Terms & Conditions to login

Use cases:

  • Inviting a candidate who "walks in" to Agency

  • Inviting an Agency employee who is interested in becoming a Call Taker

Fill Assessment Details:

  • Hiring Phase

  • Calibration vs. On Site User Options

Fill Candidate Details:

  • First and Last Name

  • Email

  • Hiring Phase

Click Send Invite

Candidate receives email invitation

Candidate can Accept or Decline invitation.

If candidate doesn't accept Invitation and login within seven days, the status will indicate Pending, the invite will expire, and needs to be manually resent.

If the candidate declines the invitation, it tells the agency they are not continuing with the process application status will need to updated by Agency, in which case agency can mark them as "Withdrawn" and explain why in the message box.

If the candidate accepts the invitation, receives a Welcome verification message.

Additional emails are triggered for the Candidate.

Candidate Logs in

  1. Candidate logs in with temporary password

  2. Candidate changes password

  3. Candidate logs in again with new password.

Note: Passwords must be at least 20 characters in length.

Is the assessment timed?

Yes, the assessment allows for three hours.

Will I be on camera?

Yes, the assessment will capture the applicant throughout completion. (Agency Dependent)

Will I see my assessment score?

Applicants will not have access to scores. (Agency Dependent)
