Agency Hiring Workflow

The typical workflow for a HIRE candidate should flow through the following steps:

Access Pre-Hire Dashboard

Invite Candidate

Select Invite User

Applicant status updates to Pending

Candidate Options - Accept, Decline, No Action/Ignore

Available Actions for Candidate

  • Accept - When a candidate clicks "Accept" their status updates to "Accepted."

  • Decline - A candidate can decline or "not accept" the invitation. Their status would remain as "Invited" until a hiring manager chooses to withdraw or cancel or delete them.

  • No Response/Ignore

Candidate Accepts Invitation

Receipt - Candidate receives and opens invitation email

Accept - Candidate receives invitation and clicks "Accept"

Status - When a candidate clicks "Accept" their status updates to "Accepted."

Available Agency Actions:

  • Edit Invitation

    • Use Cases:

      • Applicant has requested invitation be sent to a different email

      • Candidate provides an updated email address

      • Candidate is given the assessment in-person

      • Tracking ID added

      • Add Hiring Manager messages

  • Download record

  • Cancel application

    • Use Case: Agency has decided to end the application process with this Candidate

  • Withdraw application

    • Use Cases:

      • Applicant has decided to end the application process

      • Candidate has withdrawn their application

      • Candidate has accepted a position elsewhere.

  • Delete application

    • Agency has deleted the candidate record before candidate has taken the Assessment

    • Never use Delete if Cancelled or Withdrawn is applicable

      • Use Cases:

        • Agency has made an error with this application

        • Assessment sent to wrong person, email, etc.

        • Calibration User gets a very low score

        • Calibration User had technical issue and had to abandon assessment.

Applicant declines Invitation

Decline - A candidate can decline or "not accept" the invitation. Their status would remain as "Invited" until a hiring manager chooses to withdraw, cancel or delete them.

Available Agency Actions:

  • Cancel application

    • Use Case: Agency has decided to end the application process with this Candidate

  • Withdraw application

    • Use Case: Applicant has decided to end the application process

  • Delete application

    • Agency has deleted the candidate record before candidate has taken the Assessment

    • Never use Delete if Cancelled or Withdrawn is applicable

    • Use Case: Agency has made an error with this application

Applicant does not respond

Original invitation expires in seven days. If candidate does not accept invitation, you can resend invitation.

  • Resend Invitation

    • Use Cases:

      • Applicant has not responded because invitation got stuck in Spam folder --> Resend Login Email

      • Seven days have passed and invitation has expired --> Resend Login Email

  • Download record

  • Cancel - Agency has cancelled the applicant's candidacy.

    • Use Case: Agency does not want to proceed with the hiring process with this Candidate

  • Delete - Agency has deleted the candidate record before candidate has taken the Assessment (Never use Delete if Cancelled or Withdrawn is applicable)

    • Use Case: Assessment sent to wrong person, email, etc.

Use Cases:

  • Candidate provides an updated email address

  • Candidate is given the assessment in-person

  • Tracking ID added

  • Add Hiring Manager messages
