How to use the Records Requests dashboards to monitor request volume, fulfillment performance, and compliance.

Records Requests includes dashboards that give administrators and supervisors visibility into request volume, fulfillment performance, and agency health.

Overview Tab

The Overview tab shows high-level health metrics for your agency's records request activity.

Metrics include:

  • Total requests β€” How many requests are currently in the system (open and closed)

  • Open requests β€” Requests still in progress

  • Average time to fulfill β€” How long it takes from request received to records released

  • Compliance rate β€” Percentage of requests fulfilled within your statutory deadline

These cards give you a quick snapshot. If something looks off, drill into the Details tab.

Details Tab

The Details tab lets you drill down into specific metrics with interactive cards.

Click any card to see the underlying data. For example:

  • Click Average time to fulfill to see fulfillment times broken down by month, request type, or clerk.

  • Click Open requests to see a list of all pending requests with their age and status.

Use this view to identify:

  • Requests that are aging and may be approaching a deadline

  • Patterns in request volume (seasonal spikes, recurring requesters)

  • Individual workload across your team

Tips

  • Check the Overview tab weekly. A quick glance at compliance rate and average fulfillment time tells you if things are on track.

  • Use Details when something's off. If compliance rate drops, drill in to find which requests are overdue and why.

  • Share with leadership. These dashboards are useful for reporting on records request performance without pulling manual reports.
