What to Do When a Trainer Changes After a TRAIN Signoff Is Sent

If you update the trainer on a training assignment after a signoff is already in progress, the original trainer still receives the signature request. Here's why — and how to fix it.

If you change a trainer after a signoff is already in progress, the system still sends the signature request to the original trainer. This is expected — the trainer is captured the moment the signoff starts.

Why this happens

When a training phase signoff is initiated, the system records exactly who should sign at each level. Updating the trainer on the assignment afterward doesn't automatically update any pending signature requests.

How to fix it

  1. Open the training assignment and click into the signoff section to open the Enrollment Sign-off Details drawer.

  2. Click Recall Signoff. This cancels all pending signature requests and restarts the signoff from Level 1 (the trainee's step).

  3. Before the trainee signs, confirm the trainer on the assignment is updated to the correct person.

  4. Ask the trainee to complete their Level 1 signature.

  5. Once Level 1 is complete, Level 2 activates automatically — and the signature request goes to whoever is currently listed as the trainer.

Note: In a multi-level signoff flow (e.g., trainee → trainer → supervisor), the trainer listed on the assignment at the time Level 1 completes is who receives the Level 2 request. Make sure the trainer is updated before Level 1 is signed.
