Sync Users and Establish Roles

ASSIST pulls users from CommsCoach. Admins must assign ASSIST-specific roles that are unrelated to roles set in CommsCoach.

Upon initial sync, Assist will assign all telecommunicators as “Calltaker,” all Admin or System Admin as “Admin,” and all Supervisors as “Supervisor/Dispatcher.”

Admins should always go in and review these roles before users log into the system.

If a user does not have a role assigned, they will only see a message reading “No role for this user. Contact your Administrator to get a role assigned.”

Step-by-Step: Sync Users

Step 1: Go to Settings

Step 2: Click Users

Step 3: Sync Users (If Needed)

Click Sync Users (top right) if you are missing users in Assist that have been created in CommsCoach.

Wait approximately 2 minutes before attempting to sync again.

Step 4: Assign Roles

Click the user’s name.

Select a role from the dropdown.

Step 5: Edit user roles

To update the role of a particular user, click the user's name and select a new role from the dropdown. Each role has a set list of permissions in the table below:

Roles and Permissions

Role

Description

Admin

Full access to all calls, the Calls Dashboard, and Settings with configuration, assistants, positions, layout, and users.

Supervisor/Dispatcher

Access to Calls Dashboard and all active and historical calls. No access to Settings.

User (Call-Taker)

Log into positions, take calls, override answers, utilize translation, and listen back to their own calls. Call takers cannot access any other user’s calls or the calls dashboard.
